These are website-ready draft principles, not finalized legal policies. They require board approval and review for compliance with Japanese law and local venue requirements.

Child safeguarding

The welfare of every child comes first

  • Teachers and volunteers complete appropriate identity, reference and safeguarding checks.
  • Classes use clear supervision, arrival, dismissal and emergency procedures.
  • One-to-one communication with minors follows approved channels and parent visibility.
  • Concerns are recorded and escalated to a designated safeguarding lead.
  • Photography and video require clear consent and controlled use.
Privacy

Collect only what the academy needs

Student and family data should be used only for admission, teaching, safety, communication, payments and required administration. Access should be role-based, records should be retained only as necessary, and public groups must never share personal student details.

Community conduct

Respectful learning for everyone

RespectNo bullying, humiliation, discrimination or abusive language.
AttendanceFamilies communicate absences and arrive on time.

Fees and support

Transparent, flexible and confidential

The academy should publish suggested contributions, payment timing, refund rules, sponsorship procedures and hardship support. Financial information must be handled confidentially and decisions should not stigmatize students.

Online learning safety

Secure and supervised digital classrooms

  • Use academy-controlled accounts and meeting links.
  • Do not publish links in public channels.
  • Set clear recording, camera and parent-supervision rules.
  • Keep teacher-student messages in approved systems.
Required before launch: formal Japanese legal review, privacy notice, data-retention schedule, emergency plan, safeguarding lead, complaint procedure, incident forms and consent forms.
